POP, IMAP, Outlook, Gmail, & so much more...

mojaevans Marketing & Branding Services manages more than 75 websites and over 600 email addresses for our clients. We use to be able to provide one-on-one support to our clients and their employees, however it has grown beyond our capacity to do so. However, we have developed this page to assist all of those we create emails for to understand the difference between POP and IMAP as well as how to set up their email on various phones and platforms.

 

 

What is POP and IMAP?

 

POP (Post Office Protocol). This is a method that your email client can use to connect to the email server for retrieving messages. This connection type allows you to download messages from the email server onto your computer. When looking at your email via your email client (i.e. MS Outlook, Mail, Etc.), you're looking at your downloaded copies of those messages, not your original messages that still exist inside of your PowWeb mailbox.

 

IMAP (Internet Message Access Protocol). This is a method that your email client can use to connect to the email server for retrieving messages. This connection type allows you to read messages from the email server without downloading the messages onto your computer. When looking at your email inside of your email client (i.e. MS Outlook, Mail, Etc.), you're looking at the original messages that exist inside of your PowWeb mailbox.

 

When do I choose POP? When do I choose IMAP?

 

While it's possible to connect using either method from any email client or mobile device, we have a few recommendations for you to consider. Ultimately you get to decide which connection type you want to use.

 

Chose POP if you...

 

  • want to store a backup of your email on your personal computer.
  • do not want your mailbox to get so full that it can't receive messages anymore.
  • want to be able to read your email even if you're not connected to the Internet.
  • expect to get a lot of incoming email.

 

Chose IMAP if you...

 

  • want to be able to check your email on multiple devices.
  • want to store email on your PowWeb mailbox (note there are Email Storage and Sending Limits).
  • want to use your phone to check your email.
  • only want to worry about deleting your email once. Why does this matter? [The way our servers work is that it will only download an email once when selecting IMAP, however using POP will keep a copy of the email on the server and cause spacing issues if you received a lot of emails. Should this happen, you will need to log in to your email account and delete emails individually as well as empty the trash to maintain storage space.]

 

Generic Email Settings

 

These are the generic settings and should work for any email client or mobile device.

 

Username: Your full email address (set up by mojaevans M&BS)

Password: Your email password (set up by mojaevans M&BS)

 

Connection Type: Server & Port info

POP Incoming Server: pop.powweb.com

Incoming Port: 110 (or 995 with SSL enabled)

 

IMAP Incoming Server: imap.powweb.com

Incoming Port: 143 (or 993 with SSL enabled))

 

SSL (Optional): Enabled or Disabled

 

Outgoing Server Authentication: Enabled

 

Outgoing Server: smtp.powweb.com

 

Outgoing Port: 587 (or 465 with SSL enabled)

 

Tip: If 587 is not working for the Outgoing Port, try using port 25 instead.

 

***** You DO NOT have to use powweb.com for your email client server settings. Instead, you can use your domain (example: tyrone@your-domain.com). Examples have been provided below:

 

Our Incoming Server (POP): pop.powweb.com

Your Incoming Server (POP): pop.your-domain.com

 

Our Incoming Server (IMAP): imap.powweb.com

Your Incoming Server (IMAP): imap.your-domain.com

 

Our Outgoing Server: smtp.powweb.com

Your Outgoing Server: smtp.your-domain.com

MS Outlook Email Client Setup: [POP Process - IMAP Process]

 

Outlook POP Process for Email Settings:

 

  1. Open Outlook 2013.
  2. Click File.
  3. Click Info.
  4. Click Add Account.
  5. Choose Manual setup or additional server types.
  6. Click Next.
  7. Choose POP.
  8. Click Next.
  9. Fill in the following information:
    1. Your Name: The name to display on your email.
    2. Email Address: Your full email address
    3. Account Type: POP
    4. Incoming Mail Server: pop.powweb.com
    5. Outgoing Mail Server (SMTP): smtp.powweb.com
    6. User Name: Your full email address
    7. Password: Your email password
    8. Remember Password: We recommend having this checked.
    9. Require logon using Secure Password Authentication (SPA): We recommend having this unchecked.
  10. Click More Settings.
  11. Click Outgoing Server.
  12. Check My outgoing server (SMTP) requires authentication.
  13. Select Use the same settings as my incoming mail server.
  14. Click Advanced.
  15. Fill in the following information:
    1. Incoming Server (POP Port): 110
    2. Use the following type of encrypted connection (Incoming): Optional. If enabled, change Incoming Server (POP Port) to 995.
    3. Outgoing Server (SMTP Port): 587
    4. Use the following type of encrypted connection (Outgoing): Optional. If enabled, change Outgoing Server (SMTP Port) to 465.
  16. Click OK.
  17. Click Next.
  18. Click Finish to complete the set-up.

 

Outlook IMAP Process for Email Settings:

 

  1. Open Outlook 2013.
  2. Click File.
  3. Click Info.
  4. Click Add Account.
  5. Choose Manual setup or additional server types.
  6. Click Next.
  7. Choose IMAP.
  8. Click Next.
  9. Fill in the following information:
    1. Your Name: The name to display on your email.
    2. Email Address: Your full mailbox address
    3. Account Type: IMAP
    4. Incoming Mail Server: imap.powweb.com
    5. Outgoing Mail Server (SMTP): smtp.powweb.com
    6. User Name: Your full email address
    7. Password: Your email password
    8. Remember Password: We recommend having this checked.
    9. Require logon using Secure Password Authentication (SPA): We recommend having this unchecked.
  10. Click More Settings.
  11. Click Outgoing Server.
  12. Check My outgoing server (SMTP) requires authentication.
  13. Select Use the same settings as my incoming mail server.
  14. Click Advanced.
  15. Fill in the following information:
    1. Incoming Server (IMAP Port): 143
    2. Use the following type of encrypted connection (Incoming): Optional. If enabled, change Incoming Server (IMAP Port) to 993.

    4. Use the following type of encrypted connection (Outgoing): Optional. If enabled, change Outgoing Server (SMTP Port) to 465.
  16. Click OK.
  17. Click Next.
  18. Click Finish to complete the set-up.

 

 

Android Device Email Client Setup: [POP Process - IMAP Process]

 

Email IMAP Process for Android Devices:

 

  1. Go to View All Applications.
  2. Go to Settings.
  3. Select Add Account.
  4. Select Email.
  5. Fill in the following information:
    1. Email Address: Your full mailbox address (example: john@your-domain.com)
    2. Password: Your mailbox password
  6. Select Manual Setup.
  7. Choose IMAP.
  8. Fill in the following information:
    1. Username: Your full mailbox address (example: john@your-domain.com)
    2. Password: Your mailbox password
    3. IMAP Server (Incoming): imap.powweb.com
    4. Port (Incoming): 143
    5. Security Type: You can choose to enable SSL with this setting. If you choose to enable SSL, be sure to change the Port settings accordingly.
    6. IMAP Path Prefix (Optional): You can simply leave this blank.
  9. Select Next.
  10. Fill in the following information:
    1. SMTP Server (Outgoing): smtp.powweb.com
    2. Port (Outgoing): 587
    3. Security Type: You can choose to enable SSL with this setting. If you choose to enable SSL, be sure to change the Port settings accordingly.
    4. Require Sign-In: We recommend having this box checked.
    5. Username: Your mailbox address (example: john@your-domain.com)
    6. Password: Your mailbox password
  11. Select Next.
  12. The email setup for your Android Device is now complete.

 

Email POP Process for Android Devices:

 

  1. Go to View All Applications.

  9. Select Next.
  10. Fill in the following information:
    1. SMTP Server (Outgoing): smtp.powweb.com
    2. Port (Outgoing): 587
    3. Security Type: You can choose to enable SSL with this setting. If you choose to enable SSL, be sure to change the Port settings accordingly.
    4. Require Sign-In: We recommend having this box checked.
    5. Username: Your mailbox address (example: john@your-domain.com)
    6. Password: Your mailbox password
  11. Select Next.
  12. The email setup for your Android Device is now complete.

 

Apple Device Email Client Setup: [POP Process - IMAP Process]

 

Apple Device IMAP Process for Email Settings:

 

  1. Go to your Settings App.
  2. Select Mail, Contacts, Calendars.
  3. Select Add Account.
  4. Select Other.
  5. Select Add Mail Account.
  6. Fill in the following information:
    1. Name: How you want your name to appear in emails (example: John Smith)
    2. Email: Your full mailbox address (example: john@your-domain.com)
    3. Password: Your mailbox password
    4. Description: Distinguishes this email connection from others you might have setup on your Apple device.
  7. Select Next.
  8. Select IMAP.
  9. Fill in the following information:
    1. Incoming Mail Server Host Name: imap.powweb.com
    2. Incoming Mail Server User Name: Your full mailbox address (example: john@your-domain.com)
    3. Incoming Mail Server Password: Your mailbox password
    4. Outgoing Mail Server Host Name: smtp.powweb.com
    5. Outgoing Mail Server User Name: Your full mailbox address (example: john@your-domain.com)
    6. Outgoing Mail Server Password: Your mailbox password
  10. Select Next.
  11. Select Continue if you get a message stating that the server identity could not be verified.
  12. The email setup for your Apple Device is now be complete. You can view your messages through your device's Mail app.

 

Apple Device POP Process for Email Settings:

 

  1. Go to your Settings App.
  2. Select Mail, Contacts, Calendars.
  3. Select Add Account.
  4. Select Other.
  5. Select Add Mail Account.
  6. Fill in the following information:
    1. Name: How you want your name to appear in emails (example: John Smith)
    2. Email: Your full mailbox address (example: john@your-domain.com)
    3. Password: Your mailbox password
    4. Description: Distinguishes this email connection from others you might have setup on your Apple device.
  7. Select Next.
  8. Select POP.
  9. Fill in the following information:
    1. Incoming Mail Server Host Name: pop.powweb.com
    2. Incoming Mail Server User Name: Your full mailbox address (example: john@your-domain.com)
    3. Incoming Mail Server Password: Your mailbox password
    4. Outgoing Mail Server Host Name: smtp.powweb.com
    5. Outgoing Mail Server User Name: Your full mailbox address (example: john@your-domain.com)
    6. Outgoing Mail Server Password: Your mailbox password
  10. Select Next.
  11. Select Continue if you get a message stating that the server identity could not be verified.
  12. The email setup for your Apple Device is now be complete. You can view your messages through your device's Mail app.

 

Mac OS X Mail Email Client Setup: [POP Process - IMAP Process]

 

Mac OS X Mail POP Process for Email Settings:

 

  1. Open Mac OS X Mail.
  2. Click File.
  3. Click Add Account.
  4. Fill in the following information:
    1. Full Name: How you want your name to appear in emails (example: John Smith)
    2. Email Address: Your full email address (example: john@your-domain.com)
    3. Password: Your email password
  5. Click Continue.
  6. Fill in the following information:
    1. Account Type: POP
    2. Description: Whatever you want (example: POP Account)
    3. Incoming mail server: pop.powweb.com
    4. User Name: Your full email address (example: john@your-domain.com)
    5. Password: Your email password
  7. Click Continue.
  8. Click Connect if you receive a message about a security certificate.
  9. Fill in the following information:
    1. Description: Whatever you want (example: POP Account)
    2. Outgoing Mail Server: smtp.powweb.com
    3. Use only this server: Checked
    4. Use Authentication: Checked
    5. User Name: Your full mailbox address (example: john@your-domain.com)
    6. Password: Your mailbox password
  10. Click Continue.
  11. Click Connect if you receive a message about a security certificate.
  12. Check Take account online.
  13. Click Create to complete the set-up.

 

Mac OS X Mail IMAP Process for Email Settings:

 

  1. Open Mac OS X Mail.
  2. Click File.
  3. Click Add Account.
  4. Fill in the following information:
    1. Full Name: How you want your name to appear in emails (example: John Smith)
    2. Email Address: Your full email address (example: john@your-domain.com)
    3. Password: Your email password
  5. Click Continue.
  6. Fill in the following information:
    1. Account Type: IMAP
    2. Description: Whatever you want (example: IMAP Account)
    3. Incoming mail server: imap.powweb.com
    4. User Name: Your full email address (example: john@your-domain.com)
    5. Password: Your email password
  7. Click Continue.
  8. Click Connect if you receive a message about a security certificate.
  9. Fill in the following information:
    1. Description: Whatever you want (example: IMAP Account)
    2. Outgoing Mail Server: smtp.powweb.com
    3. Use only this server: Checked
    4. Use Authentication: Checked
    5. User Name: Your full email address (example: john@your-domain.com)
    6. Password: Your email password
  10. Click Continue.
  11. Click Connect if you receive a message about a security certificate.
  12. Check Take account online.
